How to Convert a U.S. Bank Statement to Excel

U.S. Bank statements are tidy on paper, but their layout is a little different from what many people expect: activity is often grouped by type rather than listed in one long date-ordered table. That matters when you want the transactions in a spreadsheet. This guide shows how to turn a U.S. Bank PDF statement into Excel (or CSV, JSON or XML), where to find the PDF, and how to handle the layout once the rows are in Excel.

Where to download your U.S. Bank statement as a PDF

What a U.S. Bank statement looks like

Layouts vary by account and change over time, so this is a general guide rather than an exact specification.

U.S. Bank checking and savings statements often include:

  • A header with the statement period and a masked account number.
  • An account summary: beginning balance, deposits, withdrawals, checks and the ending balance.
  • Activity grouped into sections by type, for example customer deposits, other deposits, card withdrawals, other withdrawals and checks paid, each with its own subtotal.
  • On some statements, a balance summary listing the ending balance for each day, printed separately from the transaction lines.

U.S. Bank credit card statements (for example the Altitude or Cash+ cards) usually include:

  • An account summary with the previous balance, payments, credits, purchases, fees, interest and the new balance.
  • A payment information area with the minimum payment and due date.
  • A transactions list that may show a post date, a transaction date, a reference number, a description and an amount, with payments and credits in their own section. Some card statements mark credits with CR rather than a minus sign.

Two features can make these statements awkward for generic PDF-to-Excel tools: the section subtotals, which look like transactions but are not, and, where one is printed, the daily balance summary, which can get mixed in with real activity.

What you get in the Excel file

Each transaction becomes one row with these columns:

What this means for a U.S. Bank statement:

  • Rows may follow the statement's sections. Deposits can appear together, then card withdrawals, then checks. To get one chronological list, select the table in Excel and sort by Date (oldest to newest).
  • Balance may be empty. Statement layouts vary, and balances may be printed separately from transactions. The Balance column is filled when a balance is printed beside the transaction, so it is often empty for card statements and for checking statements that keep balances in a separate summary.
  • Signs. On checking and savings, money out is negative and money in is positive. On a credit card, purchases come out positive and payments negative. Lines marked CR are credits on the statement; the preview shows how they came through.
  • Reference numbers are not a column. The output keeps date, description, amount and balance; there is no separate reference-number column.

A quick check before you use the data

  • Balance result. Did the result say the rows agreed with the printed balances? A match means the extracted figures agree with the balances that were checked; it does not prove every row is right, because errors can offset. A mismatch means comparing the rows with the statement to find where they differ.
  • No subtotals. Section totals such as total deposits or total card withdrawals are not transactions and are not meant to appear as rows; the preview is where to spot one that slipped in.
  • No daily balance lines. Entries from a daily balance summary are not transactions either and are not meant to appear as rows; the preview is where to spot one that slipped in.
  • Checks. Check numbers and amounts match the checks-paid section.
  • Row count. Roughly the same number of rows as transactions on the statement.
