How to Convert a Capital One Statement to Excel

Capital One customers often have more than one kind of statement: a credit card such as Venture, Quicksilver or Savor, and a 360 Checking or 360 Performance Savings account alongside it. Both arrive as PDFs. This guide shows how to turn a Capital One PDF statement into Excel (or CSV, JSON or XML), where to find the PDFs, and what to expect from each layout.

Where to download your Capital One statement as a PDF

You need the PDF of the statement. In Capital One online banking or the Capital One Mobile app, open the account's statements area and download the PDF for the period. Labels vary by account and change over time, so this is the general flow rather than exact menu names:

  1. Sign in to online banking or the app and choose the account, card or 360.
  2. Open the account's statements area.
  3. Pick the statement period.
  4. Download the PDF, or share it from the app.

Online banking may also offer downloads of recent transactions in other formats. The PDF route is the one that works for older periods, statements you only have as PDFs, and statements someone else sent you.

What a Capital One statement looks like

Layouts differ by product and change over time, so this is a general guide, not an exact specification.

Capital One credit card statements usually include:

  • An account summary: previous balance, payments, other credits, transactions, cash advances, fees charged, interest charged and the new balance.
  • A payment information area with the minimum payment and due date.
  • A transactions list with a transaction date, often a post date, a description and an amount.
  • Transactions that may be grouped by card or cardholder, with separate subtotals when there are authorized users.
  • Separate lines or sections for fees and interest charged.

Capital One 360 Checking and Savings statements usually include:

  • A header with the statement period and a masked account number.
  • A summary with the opening balance, money in, money out and the closing balance.
  • A transaction table with a date, a description and an amount. Columns vary, and a running balance appears on some versions.

Subtotals per cardholder, summary boxes and descriptions that wrap onto a second line are what make these statements tricky to extract.

Each transaction becomes one row with these columns:

Points worth knowing for Capital One:

  • Credit card signs. Purchases, fees and interest come out positive; payments and credits come out negative. When every row was read correctly, the Amount column totals to the change from the previous balance to the new balance.
  • 360 signs. Deposits are positive and withdrawals negative. The Balance column is filled when the statement prints a balance.
  • Cardholder subtotals are not transactions. Subtotal lines per card belong to the statement summary, not to your rows; check in the preview that none slipped in.
  • Dates without a year. Statements often print dates as month and day only. For a statement that runs across a year end, check that December and January rows carry the right years.

A quick check before you use the data

  • Balance result. Did the result say the rows agreed with the printed balances? A match means the extracted figures agree with the balances that were checked; it does not prove every row is right, because errors can offset. A mismatch means comparing the rows with the statement to find where they differ.
  • Row count. Close to the number of transactions on the statement, with no subtotal lines.
  • Fees and interest. If the statement shows interest charged or a fee, check that it appears as a row in the file.
  • Wrapped descriptions. Each transaction sits on one row, even when the merchant name wrapped on the page.
